Business reports and printing

Run the sale, purchase, payable, receivable and stock reports for any period, print them with your company header, or save them as PDF.

Needs the Sale & Purchase moduleUpdated

The Reports menu has five everyday reports. With the Accounting module you also get the accounting reports, and HR & Payroll has its own reports (see Attendance and leave and Payroll).

Running a report

  1. Open Reports and choose a report. It opens straight away for the last date range you used (the first time, from the 1st of this month to today).
  2. Change the Start Date and End Date and click Apply Filters. Clear one of the dates to leave that end open, for example everything up to a date.
  3. Read the totals under the table, or click Print.

The date range you pick follows you from report to report until you close the browser tab, so you can compare reports for the same period quickly.

Sale and purchase reports

Both reports have a Group By choice:

Group ByShows
InvoiceOne row per invoice: Reference No, Date, customer (or supplier), Amount (before the invoice discount and tax), Payables (after the discount, including tax), Paid (everything settled so far, including later receipts and returns) and Remaining. Totals for each column.
ProductOne row per invoice line: Reference No, Date, item Description, Quantity, Price, Amount Without Discount and Amount With Discount (after line discounts). Totals for quantity and amounts.

POS sales are included in the sale report. Returns aren't listed as rows, but they count in each invoice's Paid and Remaining.

Payable and receivable reports

These list the supplier payments and customer receipts recorded in the period, with the Date, party, Remarks and Amount, and a Total Amount. They show money paid and received, not balances still owed; for those, use the parties' ledgers or the aged reports.

Stock report

Reports → Stock lists every item with its Opening Quantity at the start date, Quantity In and Quantity Out during the period, and Closing Quantity at the end date, plus totals. It shows quantities, not values. For one item's movements in detail, open its Item Ledger under Inventory → Item.

Printing and saving as PDF

Print opens a print-ready version of the report in your browser's print window. It has your logo, company name, contact, address and NTN/STRN at the top, the report title, every row for the period and the totals.

Who can see reports

Each report has its own View permission on the Permissions page, so you can, for example, let store staff see the stock report but not the sale report.
