Chapter: Employee self service

HR and payroll

Employee self service

Let employees sign in to see their own payslips, leave balances and attendance, and request leave without going through HR.

Set up an employee's access

  1. Create a role for employees, for example Employee, and on the Permissions page give it View on My Payslips and My Attendance, and View, Insert and Update on My Leave. Untick everything else.
  2. Add a login for the employee under Users with that role.
  3. Edit the employee under HR → Employees and choose the login in User Account (self-service login).
  4. Give the employee their email and password. They sign in at app.erpnexl.com and find everything under Self Service.

Employees only ever see their own records. If the login isn't linked yet, they see No employee profile is linked to your login.

My Payslips

A list of the employee's payslips with the Period, Status, Pay Date, payable days, Gross, Deductions and Net Pay. View opens the full payslip with every earning and deduction. Payslips appear once HR has posted the payroll run.

My Leave

  1. Check Balances for the year: allocated, used and remaining days for each leave type.
  2. Click Request Leave, choose the Leave Type (unpaid types are marked), the From and To dates or Half day, add a Reason and save.
  3. Follow the request's Status under My Requests. While it's still pending, Withdraw cancels it.

HR approves or rejects requests on the Leave page. Once a request is approved, only HR can cancel it.

My Attendance

Choose a Year and Month to see each day's attendance status and a summary of present, absent and leave days. It's read-only; HR records attendance.
